Check a customer's PO against the quote

Read the purchase order from its PDF or paste its rows, confirm them, and see every difference from the quote before you place your own order.

Video coming soon.

The demo customer Northpine Health Systems has sent purchase order NP45000123 against finalised quote Q-2026-0100. Every name, number and price here is invented.

1. Attach the PO

Open the finalised quote and press Attach PO to store the customer's PDF against it.

2. Read it from the PDF

In PO check, press Extract from PDF. Anixify reads the PO's header (number, date, currency, the customer and vendor names it prints, the delivery site) and its lines into Check what was read. Nothing is added until you have looked: correct anything that is wrong, then confirm. Lines that came from the PDF are tagged Read from PDF.

3. Or paste the rows

If the PO came as a spreadsheet, or as a PDF in another layout, copy its rows (part number, description, quantity, unit price, amount) and use Paste lines. The same review appears; where it cannot tell which column is which, it says so instead of guessing.

4. Compare

Enter the customer's PO reference if it is not filled in, and press Save PO and compare. Each PO line is compared with the quote on part number, quantity and unit price โ€” exactly, with no tolerance:

Result What it means
Matches Same part, same quantity, same unit price.
Quantity differs The part is on the quote, at a different quantity.
Unit price differs The part is on the quote, at a different price.
Not on the quote The customer ordered something you did not quote.
Quoted, not on the PO You quoted it and the customer did not order it.
We could not tell which line More than one quote line could be the one the PO means. Anixify will not pick for you.

Every kind of result, on the demo PO

When the PO and the quote agree, every line reads Matches:

A PO that matches its quote

The comparison changes nothing on the quote. It is there so the differences are talked through with the customer before anything is ordered.
